Enrolment - Changing Your Enrolment

Changing your Enrolment or Program

Whenever you make a change to your enrolment, always check that your enrolment is recorded correctly on ISIS. Your fee/HECS account will be updated within 24 hours of a change to your enrolment. You do not need to wait for a paper invoice to pay your account.

 

Are you an International student?

If you are an International student, please make sure that you contact the Office of Policy and Regulation at policy.regs@anu.edu.au or 02 6125 1436 to arrange an appointment to discuss the implications to your visa when making the following changes:

  • Dropping a course
  • Changing Program
  • Withdrawing from your Program
  • Requesting Program Leave

For undergraduate and postgraduate coursework students

Adding a course

The table below shows you what you need to do to add a course. You should be careful when changing courses that you are still on track to fulfill the requirements of your program and any majors you may be undertaking.

Add the course(s) to your enrolment on ISIS.

Complete an Enrolment Variation form and lodge it with the College/Faculty Office that offers the course/s in which you wish to enrol. Your enrolment will only be approved if the lecturer certifies, in writing, that you have been attending classes for that semester and the Program/Delegated Authority agrees to the late enrolment.

Pay the $50.00 late fee at Student Administration Services.

Check your account on ISIS to see if you need to pay an additional amount because of your change in enrolment. Pay the amount due to Student Administration Services immediately.

After census date 31 March (Semester 1)

After census date 31 August (Semester 2)

Course additions after the census date are not permitted.

Dropping a course

The table below shows you what you need to do to drop (withdraw from) a course, how the result will appear on your transcript and whether you are liable for fees. You should be careful when dropping courses that you are still on track to fulfill the requirements of your program and any majors you may be undertaking. Withdrawing from a course can also affect your eligibility to receive Austudy/Youth Allowance and International Students should be aware that it is a condition of their visa that you be enrolled as a full-time student.

You will not be liable for tuition fees/HECS.

Change your enrolment on ISIS

The course(s) you drop will show on your enrolment record as Withdrawn (WD). This is not a fail grade but does still need to be recorded for auditing purposes.

You will remain liable for tuition fees/HECS.

17 May - 11 June
(Semester 1)

27 September - 5 November
(Semester 2)

Change your enrolment on ISIS

The course(s) you drop will show on your enrolment record as Withdrawn with failure (WN).

You will remain liable for tuition fees/HECS.

After start of examination period - 12 June)
(Semester 1)

After start of examination period - 6 November
(Semester 2)

Course withdrawals after the start of the examinations period are not permitted.

Withdrawing entirely from a program (degree)

To withdraw entirely from your program in an academic year/semester or to cancel your studies and give up you place in your program, you need to submit an Application for Program Leave/Withdrawal to the Program/Delegated Authority. Your withdrawal should be acknowledged by the University within 28 days of receiving your application. If you have not heard about your withdrawal within that time, you need to contact your College/Faculty/School/Centre Office.

It is not possible to withdraw from all of your enrolled courses through ISIS.

If you stop attending classes but don't notify the University that you wish to withdraw, you will still be considered as as an enrolled student and will be charged fees and receive a Fail grade.

Changing majors

To change your major, you will need to contact your College/Faculty Office.

Changing Programs

Program transfers

To change your program you will need to

  1. Complete an Application for Program Transfer and lodge it with the Enrolments Office by the closing date:

    2nd Friday in December for First Semester of the following year.

    Last teaching day in First Semester for Second Semester of current year.

    Late applications

    Will be only be accepted after the deadline where extenuating circumstance prevented the applicant from applying on time. Late applications must be accompanied by a letter outlining such reasons, and a late fee of $125 must be paid upon submission.

  2. You will receive an email from the Enrolments Office advising you of the outcome of your application to transfer. If you are offered a place in the new program but don't wish to take it, please advise the Enrolments Office in writing immediately.
  3. Check on ISIS that your old program in inactive and your new program is active. If your record is not correct, contact the Enrolments Office.
  4. Enrol in courses through ISIS, as per standard enrolment procedures, fee payment requirements and deadlines.
  5. If you wish, you can apply for credit for any studies you have already completed.

International students transferring programs will also need to

6. Lodge a Request for a Change to Electronic Confirmation of Enrolment form , signed by your College/Faculty, with the International Education Office.

7. Sponsored students will need to fill in a new Sponsorship Form and seek approval for the transfer from your sponsor.

Please note that unless you commenced your program prior to 2005, and you are in a Commonwealth Supported program, you will be liable for the rate of tuition fees/HECS for the year of your transfer. In many cases this will mean an increase of HECS/fees.

 

Leave of absence (suspending your studies)

Approved leave of absence (suspension of studies) ensures that your place in your program is reserved so that you may continue your studies at the end of your approved leave. Leave is usually only granted to students who have completed at least one course and is usually restricted to a maximum of one year in the first instance. Program leave is counted as part of the time you take to complete your program. If you have enrolled and wish to drop all your courses before the census date, you can apply for program leave.

To apply for leave of absence from your program, you need to submit an Application for Program Leave to your Program/Delegated Authority prior to the semester in which you which to start your leave.

At the end of your leave period, you will need to re-enrol following the usual requirements for continuing students.

Changing your name or title

To change your name or title that the University has you registered under you will need to complete a Change of Name or Title form and lodge it, with supporting documentation (such as a Marriage Certificate or Statutory declaration) at the Enrolments section at SAS.

For research students

Change of research degree program

Students who wish to transfer between programs should discuss the transfer with their supervisors first and be aware of implications the change may have for any scholarships you currently hold, and for fee levels and visa requirements in the case of International Students. Restrictions may apply on when you can apply for a transfer.

To transfer to the new program, you will need to either complete an application form for admission to the program or write a detailed letter, approved by the Delegated Authority, to the Enrolments Office.

In some cases you will need to lodge a new application rather than an application for transfer.

Transfer to part-time enrolment

Domestic students may apply to transfer to part-time enrolment at any time during your studies. You should check the conditions of your award and with the Enrolments Office before you do so whether there will be implications for any scholarships you currently hold. International Students are not able to study part-time owing to visa requirements.

To transfer to part-time enrolment, you will need to write to your Head of Department and have the approval of your supervisor, Head of Department and Prescribed Authority. In your letter, you should provide assurances that you can devote 20 hours per week to your thesis and give evidence as to how you will manage that.

Transfer to another area within the University

In the case that you change your thesis topic or principal supervisor, you may wish to transfer to another area within the University. If you hold a scholarship, you should check the conditions of your award to see if is transferable. To transfer areas, you should first have the agreement of both your current area and new area and the Prescribed Authority/ies involved. Then you will need to request that your new Head of Department writes to the new Prescribed Authority for approval. If you are radically changing you thesis topic or completely changing discipline areas, you may need to complete a new application for admission.

Leave of absence (suspending your studies)

If you are unable to continue your program for personal or professional reasons, you can apply for leave of absence from your program. You should apply for leave before the start of the proposed period of absence and give your department sufficient time to assess your request. If there are circumstances which mean you where not able to apply before taking leave (such as illness) then you should contact your supervisor immediately to make interim arrangements.

For domestic students, there is no maximum period of program leave, but it is usual to allow up to one year on personal grounds and up to one further year owing to circumstances beyond your control. International Students may be granted only up to six months. International Students should also be aware that there are legal requirements which must be satisfied for you to be granted leave and that you will be expected to be outside of Australia during your leave unless you can provide evidence of exceptional circumstances.

To apply for leave of absence, complete an application form and submit it through your supervisor.

Extension of research degree program

If you are not going to be able to submit your thesis by the last day of your program, you may lodge an application for extension of program. Complete an application form and submit it to the Enrolments Office or with your local area administration. You will need to submit your application in the last three months of your program. Applications will be considered where the research has been delayed by circumstances beyond the scholar's control related to the research; however unusual personal circumstances may also be considered. You will still be liable for fees during the extended time.

Withdrawing entirely from a program

You may withdraw from your program at any time before you submit your thesis, but you should discuss the withdrawal with your supervisor and head of department first to cover all possible alternatives and help available to you. If you do decide to go ahead with withdrawing, you will need to write to your supervisor or Dean and your withdrawal will be effective from the date your letter is received. Note that if you withdraw after the commencement of a research semester, you will still be liable for fees for that semester.

Changing your name or title

To change your name or title that the University has you registered under you will need to complete a Change of Name or Title form and send it, with supporting documentation (such as a Marriage Certificate or Statutory declaration) to the Enrolments Office. If you are advising of a minor change (such as to correct a minor error) you may not need to provide supporting documentation.
