Welcome to the second September issue of the Research Office Newsletter.

 

The major announcement this week is the launch of the new Research Office website http://www.anu.edu.au/ro/.  This includes a major re-working of the Research Integrity, Sponsored Research and Research Excellence pages. My thanks to Annika Landsmann and Jaime Radcliffe for the work in revamping the site.

ARC Schemes

2009 Linkage Projects Round 2 (for funding commencing in July 2009) – Eligibility Exemption/Ruling Request

A reminder that the Eligibility Exemption/Ruling Request (EERR) proforma is available on the OSR Linkage Projects website, under Forms & Documentation : http://www.anu.edu.au/ro/OSR/Funding/funding_ARC_LP.php or on the ARC website at http://www.arc.gov.au/ncgp/lp/lp_eligibility.htm

 

Eligibility Exemption Requests : Please refer to section 10.1 of the Funding Rules

 

Academic submission

For further information and College/Local Area deadlines, Academic staff are advised to please contact your College/Local Area Research Administrator.

 

College/Local area submission

For Colleges/Local Areas, the deadline for submission to the OSR for completed EERR proforma/s is: Monday, 6 October 2008. 

 

Please submit an electronic (.pdf) version of the signed and completed EERR form. Hard copies are not required, but College/Local Areas are advised to keep the hard copy and upload the document into ARIES.

 

Please note: Eligibility Exemptions must be submitted through the OSR for forwarding to the ARC.

2008 ANU Linkage Pilot Project Fund (Round 2)

The Vice-Chancellor is offering another round of the Linkage Pilot project funding scheme.

This internal fund seeks to identify ANU researchers who are able to demonstrate a potentially viable pilot project involving one or more industry partners which can then be developed to apply for ARC Linkage Project funding within the next year.

Mentoring support will be available, both for the researchers and their local area administrators, to ensure that the budding applications have the greatest internal support possible for success with the ARC.

The guiding principles for the applicants will be:

1. To develop collaborative research alliances with organisations outside the University;

2. To encourage innovative research;

3. To enhance the ANU’s industry-oriented research and our ability to provide a fertile training ground for future researchers and industry leaders.

Dates for 2008 : Round Open from 3 November 2008 to 1 December 2008.

Australian-Italy Award: for PhD Students and Early Postdoctoral Researchers.

The Australian Academy of Science is inviting applications for the Australia-Italy Award for short-term scientific research visits (1–3 months) between Australia and Italy in 2009.

Proposals in any field of natural science, basic and applied, including mathematics and engineering science, will be considered.

Loading documents into ARIES - How to reduce your file size

When uploading documents into ARIES users need to be aware that larger sized documents (over 10mB) may fail to load.  Try these tricks to reduce the size of the file.

Trick # 1: Use Adobe Acrobat

For an existing pdf file or Word file: This answer is based on Windows applications but should be the same on Apple computers  (This usually reduces the file size by 50%):

  1. Open an existing pdf in Adobe Acrobat (Standard or Professional), or open a Word document in Microsoft Word
  2. Go to the File menu, select Print
  3. Instead of choosing your normal printer select the option “Adobe PDF”, then select “Properties”
  4. Under the tab “Adobe PDF Settings” note the “Default Settings” option
  5. Choose the drop down option next to “Standard”
  6. Choose “Smallest file size”
  7. Click o.k., then click o.k. again
  8. When the option “Save PDF File As” appears give the file a new name (in line with the naming conventions)
  9. Save.

Once the file has been saved you can check its size by right clicking and choosing “Properties”

Trick # 2: Split a file into multiple documents:

  1. Word documents: Create a copy, rename it, delete the first half of the document in one file and the second half of the document in the other file
  2. PDF documents: use the Documents tab in Adobe Acrobat to extract or copy pages to a new document
  3. Reminder – use the naming conventions.

Trick # 3: Scanning from hardcopy

  1. If you have two scanners check if one makes much smaller pdfs
  2. Check the default settings and choose:

(i) DPI 300  (for Konica Minolta scanners choosing 200 dpi makes no difference)

(ii) Colour Greyscale

(iii) Standard pdf setting (the Compact pdf setting is worse than the standard setting)

(iv) REMEMBER – you can adjust all the relevant settings for individual jobs if you need colour/better quality.

Naming Conventions

You must save the document with a unique filename that include the ARIES grant id plus something which is not used more than once e.g. 18999_Authority_to_Apply

 

Adding a NEW PROVIDER

If you need a new FUNDS PROVIDER created in Aries please do the following:

1.       When entering the grant in Aries, go to the Schemes tab.

2.       Under Providers/Schemes click on the ‘Add’ button.

3.       Where it says ‘Fund Provider’ enter the word ‘Provider’ and hit enter/Search.

4.       You will get the provider name ‘Provider not in ARIES’ – click on the ‘Add’ button.

5.       Where it says ‘Please select scheme’ use the drop down option to choose the scheme called ‘Funding’

6.       Then go to the Notes tab and enter the following:

              I.      Name of funds provider

            II.      Address

          III.      Main contact name

          IV.      Phone

            V.      Fax

          VI.      Email

        VII.      Web address for company.

      VIII.      Scheme name – this is the name used by the funds provider. It may be something simple such as grant,  consultancy, PhD scholarship, or something more formal such as Arts Fund or Paddy Pallin Foundation Research Grant

7 Add financial data: once you have selected 'Provider not in ARIES' enter the amounts applied for/awarded for the current application/grant. When we create the new funding provider or scheme we are able to transfer the financial data to the new provider.

 

Adding a NEW SCHEME

Follow steps 1 – 7 above PLUS include the provider’s name in the Notes tab. 

 

NB

(1) Reminder: amounts applied for must be entered under the Schemes tab (and uploaded to the Funding Tab when the grant is successful). The reason is that statistical reports need to include amounts applied for as a component of both applications and successful grants.

 

(2) If you need the new provider entered urgently email RO.ITHelp@anu.edu.au advising the urgency and quoting the ARIES id.

 

(3) Research Office staff identify the need to create a new provider by running a report looking for ‘Provider not in ARIES’ so don’t put in an already existing provider as we won’t find it
