Reporting requirements for PhD and MPhil students in the Graduate Program in Ecology, Evolution and Systematics

I have set this site up to make it a bit easier for students to understand when the various bits of reporting paperwork are due and what needs to go in them. One of the reasons I did this is that the computer system the university uses to keep track of these things is unable to deal with variable due dates (ranges). For example, when something is due "3-6 months" after you start, the university puts in the exact date that equates to 3 months and then tells you that is the due date. Naturally, this causes a lot of confusion. Hopefully, this web site will make all of this clear.

Here is an explanation of what is required and the forms to use for our Graduate Program (EES) for PhD students:

YEAR 1

Within the first 3 months. Appointment of advisory panel.

-Your supervisor is sent a form on which she/he must appoint your supervisor panel after consultation with you.


3-6 months
. Supervision and Candidature Plan
-A simple form with a very brief statement of your plans for the next 6 months.

-This report should be done in conjunction with a Panel meeting

-To make sure that it is confusing, the university calls it an "Annual Plan" even though it's due in the first 6 months.

-The form must be signed by your Supervisor, the rest of your Panel (only ones that can easily sign it, don't stress about ones that can't), the Head of School and then the Dean.

9-12 months. Thesis Proposal Review (which incorporates the First Annual Progress Report and Plan for the following 6 months)
-This is the most important and biggest bit of paperwork associated with the admin side of your PhD.

-The Review is meant to be a major document which generally takes the form of a literature review and a detailed plan for all the major components of your PhD (instructions on how what needs to be included can be found on the form below).

-The Thesis Proposal Review is read by your full Panel and then a meeting is convened of you, your Supervisors and your Panel, to talk about the plan.

-Your Supervisor then writes a report on your progress and a decision is made regarding if things are going fine, needs work, or if you should be changed to a Masters student or if your candidature should be terminated.

YEAR 2
18-24 months
. Mid-term Review (Not applicable, we do not do this in EES)

18-21 months. 2nd Research Progress Report (for the previous 6 months) and Plan for the following 12 months.

-This report should be done in conjunction with a Panel meeting

-The report is meant to be brief, just a page or two, and done on this form.

YEAR 3
30-33 months
. 3nd Research Progress Report (for the previous 12 months) and Plan for completing the PhD.

34 months. Notification of intention to submit (2 months before submission).


36 months. Submit thesis.

 

Other required stuff:

In EES you are required to give 3 short talks on your work (one each year), which happens during the Annual EES Postgraduate Conference. We generally hold this in November each year and the conference is run by the first year PhD students.

You also are required to give a full departmental seminar on your work around the time that you finish your PhD.
